UltraFlexi is designed for very high levels of flexibility. It can show appropriate people ready and keen to fulfill any specific requirement.
How does it work?
Imagine a rushed shop manager who needs three extra checkout operators for two hours to start in 60 minutes. Currently her options are probably: (a) ask any on-site staff about to leave to stay on (b) broadcast a text message and wait for any responses (c) call round off-duty or zero hours employees (d) muddle by understaffed.
UltraFlexi could immediately show employees, agency temps or both who are approved and trained for that role. Each person will be legally compliant for that booking. Everyone on the screen is ready and willing to do a booking with those parameters at that location for those times. Any of them can be booked instantly.
We call this Positive Flexibility. It allows workers to have significant individual freedoms yet it delivers more flexibility than one sided systems such as zero hours contracts.
There are limits on what managers can tell a zero hours employee to do. But workers using UltraFlexi can choose to pre-accept bookings within whatever parameters work for them individually at the time.
This approach is ideal for care providers, the hospitality sector, contact centres (inbound or campaign driven), retailers, distribution companies, research/promotions agencies, events organisers, the health sector and any service provider seeking constant responsiveness to changing business requirements.
The system can be used by administrators. Or it can be switched to self-service mode so clients or frontline managers can make bookings directly. Controls can then be applied to individual accounts.
Broadly, there are three ways to achieve truly responsive headcount:
- Schedules: a rota is created in advance. Workers are either instructed on their shifts or allowed to pick them from a list.
- Call lists: managers have a sheet of workers to be phoned/texted when extra headcount is needed.
- UltraFlexi: workers say when they are available and set rules for the requirements they will fill. Their reliability is monitored. An authorised user can see everyone ready to do a particular booking, their rating for that work and who is most reliable.
None of these solutions is right for every situation. Many companies use a mix of schedules then broadcast messages when gaps occur. UltraFlexi is ideal for ever changing requirements, possibly at multiple locations. It can work within systems for scheduling, broadcast messaging, recruitment or HR functions.
UltraFlexi is not just a list of workers and a list of shifts they are to fill. It includes that information of course, but goes much further. At its heart is a rich database of the available hours, contactability and current rules for accepting additional work of specific people. The hours could be today or at specified times in the future.
What’s the business case?
UltraFlexi can be set up in two different modes:
- Agency operation: approved clients can manage their day-to-day requirements on the system. For example: a homecare agency allowing families to make their own bookings.
- Employer operation: managers make arrangements. For example: a large caterer allows managers at multiple outlets to book approved top-up staff.
In either case, the system gives workers control over their flexibility. That’s good for business. UltraFlexi works out the individuals who want a particular shift; because the precise hours suit, it is nearby, they like short bookings, they happily work at short notice, or multiple factors. Those staff are likely to be better brand ambassadors, team members and prospects for promotion than workers waiting to be told when to report.
The flexibility can be extended to other organisations. A large employer may want to make staff on flexi-contracts available to other nearby employers or agencies when not required. The system can do it instantly. It keeps a workforce engaged and developing while demand is slack.
But UltraFlexi will always follow your rules. The operator of a particular UltraFlexi system sets a range of parameters. (Legal compliance is automatically enforced.) Existing work commitments are uploaded, approved workers enter their discretionary availability and other personal rules as permitted by the operator. Bookings are then made within all the rules and the priorities of individual workers.
UltraFlexi offers all sorts of further possibilities for agencies, employers and workforces. This is a model of flexibility whose time has come.
